Establish the decision process
Identify the authorized estate representative before sorting turns into removal. Ask that person to confirm who may instruct the crew and approve the onsite price. This operational checklist does not determine inheritance rights, legal authority, or required timelines; those questions belong with the responsible representative and their advisers.
Create a short decision log that records the item, its room, the approved outcome, and who gave the instruction. Avoid informal assumptions such as “everyone probably agreed.” If several people are contributing information, let one authorized coordinator issue the final list so earlier drafts do not circulate as competing instructions.
Inventory by room and significance
Start with a wide room photograph and add item descriptions where the contents need individual decisions. Label boxes by source room, not just with a vague word such as miscellaneous. This makes it easier to find an item later without repeatedly opening every container or moving the same furniture.
Keep financial paperwork, photographs, personal records, and items believed to be valuable out of the hauling area. Arrange any necessary review independently before deciding their disposition. A cleanout crew should not be asked to infer monetary value, interpret documents, or select family keepsakes while loading a truck.
Make the categories physically clear
Use distinct spaces for retained items, named recipients, pending decisions, and approved removal. Write full words on labels and place a copy of the room plan near the entry. A recipient’s intended item should remain in the retained category until the representative confirms any alternative instruction.
Planning example: an estate has a desk promised to one family member, an undecided book collection, and a worn mattress approved for removal. Label each separately and remove only the mattress in the first scope. The pending collection should not become removable simply because a pickup appointment has been scheduled.
Turn the plan into an approved scope
Photograph the final removal group and describe stairs, loading access, and any unusually heavy objects. PNWJunkRemoval, operated by Solely Junk LLC, reviews Portland–Vancouver requests for JunkPDX service. Each ZIP, address, and scope is checked, and the price reflects volume, weight, access, and labor with approval onsite before loading.
Keep the decision log through completion and record any items left because instructions were unresolved. Specialist matters, including hazardous substances or unsafe building conditions, need separate assessment. The cleanout finish line is the approved hauling scope, not a determination that all estate administration or property obligations are complete.

COMMON QUESTIONS
Details worth settling early
Can relatives give the crew separate instructions?
Use one authorized coordinator for the final scope. Relatives can provide input to that person, who should resolve conflicts before items are approved for removal.
Should the whole estate be photographed?
Photograph what is useful for scope and decisions. Avoid sharing sensitive paperwork or private details when wide room views and item descriptions will answer the question.
What happens to items with no decision?
Keep them out of the approved hauling area and record them as pending. They can be reviewed for a later appointment once the authorized instruction is clear.
