Prepare an overflow relationship between hauling companies

An overflow relationship can help a hauling business discuss work it cannot take, but it needs a defined process before customers are transferred. Confirm service area, accepted scope, customer permission, and responsibility for communication. An introduction is not a booked job, and a provider application does not guarantee approval or future work.

Current service: Portland–Vancouver through JunkPDX. Seattle and Boise booking is closed. Check market status.

Explain the reason for the overflow request

Distinguish a temporary schedule conflict from a request outside your service area, vehicle capacity, crew capabilities, or accepted material. These differences matter when another provider reviews the opportunity. A job declined because of unknown material or unsafe access should carry that information forward; it should not be presented to the next company as a routine available pickup.

Use a factual job summary: location, customer goal, item types, access, desired timing, and what has already been discussed. If you gave a rough estimate, identify it as your estimate rather than a price another provider must honor. Do not promise that a network participant will match your terms before it has reviewed the actual request.

Get the customer’s permission for the handoff

Tell the customer that you are proposing a separate introduction and identify the receiving organization. Ask what contact details and photos may be shared. A customer’s original inquiry to your business does not automatically authorize unrestricted distribution to other haulers, and an overflow relationship should not turn into a broad lead list shared without permission.

Clarify whether the customer wants a new scope review or simply contact information. Avoid telling them that a replacement crew is confirmed until the receiving process has actually reached that point. If timing is urgent, communicate the urgency honestly while leaving availability open for review; do not manufacture certainty to make the referral feel smoother.

Agree operational and commercial responsibilities first

Before using an ongoing relationship, establish who contacts the customer, how scope changes are handled, and which party is responsible for the accepted service. Discuss the actual administrative and payment process rather than assuming a portal, automatic offers, or payouts are already active. Terms should be clear enough that the customer receives one consistent explanation.

A provider should disclose equipment, crew, disposal planning, insurance documents for review, and true operating limits. Do not claim another business’s vehicles, staff, or qualifications as your own. If subcontracting or a substitute crew is proposed, raise it before assignment so the responsible parties can assess the arrangement instead of discovering it at the customer’s door.

Treat participation as reviewed readiness

PNWJunkRemoval is a managed regional network operated by Solely Junk LLC, not a promise of unrestricted lead distribution. Provider applications are reviewed, and neither submission nor an initial conversation guarantees approval, exclusivity, or job volume. A practical overflow discussion starts with the work a business can reliably handle and the boundaries it needs to maintain.

Only Portland–Vancouver is currently active through JunkPDX. Seattle is recruiting and Boise is developing, with no confirmed jobs there. A company in a developing market may discuss readiness, but should not market an unactivated relationship as available network service. Confirm the handoff process and current market status before presenting it to a customer.

KEEP THIS WITH YOUR PROJECT NOTES

Before you take the next step

  1. State whether the constraint is time, location, capacity, or scope.
  2. Pass forward material and access concerns without minimizing them.
  3. Obtain customer permission for the receiving party and shared details.
  4. Agree contact, service, and administrative responsibilities before activation.
  5. Keep provider approval and job expectations separate from an application.

Save a text checklist with space for the address, timing and approval contact. Downloading does not submit or book a pickup.

COMMON QUESTIONS

Details worth settling early

Does applying guarantee overflow jobs?

No. Applications are reviewed, and participation or future volume is not guaranteed. The network must consider market readiness and the provider’s actual capabilities before any service arrangement is activated.

Can I send a customer’s photos with an overflow request?

Ask the customer for permission and send only photos needed to review the request. Avoid private documents, bystanders, and unrelated possessions. Explain which organization will receive the images and why they are useful.

Can I advertise network coverage in a developing market?

Do not describe it as active service. Seattle is recruiting and Boise is developing, while Portland–Vancouver is active through JunkPDX. Confirm any permitted partnership language before using network claims in your own marketing.

THE NEXT STEP
