Identify whose contents are being removed
Ask the responsible customer to distinguish tenant-owned furniture, landlord property, leased equipment, and items another party has agreed to collect. The broker’s role in a transaction does not automatically authorize disposal. Any question about ownership, lease requirements, or the permitted condition of the space should be resolved by the appropriate parties before hauling begins.
Use specific descriptions for desks, seating, shelving, freestanding equipment, and boxed contents. An instruction to empty the suite can conceal important exclusions, such as network equipment, access-control hardware, or built-in cabinets. If multiple businesses share a space, mark the approved area and identify who can answer questions about unlabelled items without delaying the entire job.
Plan for building logistics
Commercial access often depends on a building manager, loading-dock reservation, service elevator, or permitted work hours. Identify who secures those arrangements and when they must be confirmed. Give the provider the full route from the suite to the vehicle, including corners, elevator dimensions, loading distance, and any restrictions that affect large pieces.
Disclose any building-specific documentation or check-in request before scheduling so it can be reviewed. Do not promise compliance with a requirement that has not been discussed. For example, a broker may identify a preferred after-hours window, but the customer, building, and provider still need to confirm that the actual access and service arrangement can work.
Keep cleanout, decommissioning, and trades distinct
Ordinary nonhazardous hauling does not automatically include disconnecting utilities, removing attached partitions, handling regulated materials, or certifying data destruction. Computers, records, specialty equipment, and fixtures may require separate arrangements. Ask the customer to identify sensitive or controlled items before photos are shared and before the provider assesses what it can accept.
Explain whether the proposed outcome is selected furniture removal, removal of all approved contents, or a staged pickup over several areas. A commercial handover can involve cleaning, repairs, and other trades beyond hauling. Keep those responsibilities visible so an owner does not interpret a completed furniture pickup as proof that every turnover requirement has been satisfied.
Provide a clear final handoff
Agree who receives the completion update and who will inspect the space. Document approved contents removed, any exceptions, and remaining work outside the hauling scope. Customer-authorized photos can help a remote decision-maker understand the outcome, but should avoid private documents, occupied neighboring offices, and information unrelated to the request.
PNWJunkRemoval, operated by Solely Junk LLC, is a managed regional network. Portland–Vancouver is active through JunkPDX; Seattle is recruiting and Boise is developing. Confirm local readiness before referring a tenant. A referral does not establish guaranteed capacity, an approved vendor agreement, specialized decommissioning services, or automatic project management across multiple markets.
KEEP THIS WITH YOUR PROJECT NOTES
Before you take the next step
- Identify the customer authorized to release each category of contents.
- Separate landlord property, leased equipment, and fixtures from removal.
- Confirm dock, elevator, check-in, and permitted work-hour arrangements.
- Flag sensitive records and equipment needing separate specialist handling.
- Document exceptions before the customer performs the final space review.

COMMON QUESTIONS
Details worth settling early
Can a broker approve the final hauling scope?
Only when the responsible customer has clearly authorized that role. Establish who can approve the scope and any changes before arrival, particularly when landlord and tenant responsibilities differ or multiple parties have contents in the space.
Does an office cleanout include secure document destruction?
Do not assume that it does. Identify sensitive records and data-bearing equipment separately, then arrange the appropriate service. Ordinary hauling completion does not certify secure destruction, equipment decommissioning, or compliance with an organization’s information policies.
Can the provider meet our building’s vendor requirements?
Share the actual requirements before scheduling so they can be reviewed case by case. A guide or referral cannot establish acceptance by a building, insurance suitability, or fulfillment of documentation that has not yet been assessed.
