Office Decommissioning: Plan the Final Clearout

Office decommissioning works best when the final hauling visit follows a completed asset decision process. Identify what moves, stays, returns to a vendor, or becomes ordinary removal material. Then plan access, protect the handover date, and arrange a final walkthrough that separates furniture hauling from landlord, technology, and specialist obligations.

Current service: Portland–Vancouver through JunkPDX. Seattle and Boise booking is closed. Check market status.

Start with the handover requirements

Read the move-out obligations and turn them into a room-by-room list of observable conditions. A lease may distinguish a vacant suite from a restored suite. Removing desks does not automatically address cabling, wall repairs, signage, flooring, or installations. Ask the property representative which obligations belong to your contractor and which require separate trades.

Work backward from the key-return appointment, leaving a decision buffer before the pickup. A useful planning example is to finish employee collection first, confirm the retained inventory second, and schedule approved removal third. Keep the final inspection available for resolving overlooked cabinets or storage rooms without treating unplanned work as already included.

Make ownership decisions before materials move

Assign one decision maker to approve each asset category. Label furniture that belongs to the landlord, financed equipment, leased appliances, and items moving to another location. A shared spreadsheet should identify the room, quantity, owner, intended destination, and approval status; photographs help distinguish similar desks in adjacent departments.

Keep records, computers, storage media, keys, and access cards outside the hauling scope until the responsible person clears them. Ordinary furniture removal does not include certified destruction or information-security services. Empty drawers and check the underside of workstations for mounted devices before an otherwise approved desk reaches the loading area.

Match the removal scope to the building

Document floor level, elevator restrictions, door openings, loading-zone rules, and the distance between the suite and vehicle access. Ask whether furniture may be disassembled and who will do it. Work attached to building systems, fixed partitions, or electrical connections needs separate review rather than an assumption that hauling includes construction work.

Price depends on the agreed volume, weight, access, labor, and other scope conditions. Supply representative photos and an inventory to support an initial discussion, then confirm the final onsite price before loading starts. If the inventory changes after approval, pause and agree to the revised scope instead of adding rooms informally.

Close the project with a clear boundary

Walk every room with the approved inventory after removal. Note items intentionally retained, spaces that were inaccessible, and obligations assigned to another contractor. Record visible conditions with permission. A completion note should explain what was removed and what remains; it should not imply landlord acceptance, restoration certification, or a waste-processing outcome that has not been verified.

PNWJunkRemoval is a regional managed network operated by Solely Junk LLC. Portland–Vancouver requests currently route through JunkPDX, with each address and scope checked. Seattle and Boise intake is not open. Ask about your specific handover date and building requirements before treating a pickup request as confirmed.

KEEP THIS WITH YOUR PROJECT NOTES

Before you take the next step

  1. Obtain the landlord’s written move-out requirements and key-return deadline.
  2. Mark leased equipment and landlord-owned furniture as excluded from removal.
  3. Assign a named approver for every room and asset category.
  4. Reserve permitted access only after the pickup arrangement is confirmed.
  5. Prepare a final room list showing retained items and outstanding trades.

Save a text checklist with space for the address, timing and approval contact. Downloading does not submit or book a pickup.

COMMON QUESTIONS

Details worth settling early

Does decommissioning mean full restoration?

No. This guide covers planning ordinary nonhazardous hauling. Painting, repairs, construction work, system disconnection, and contractual restoration duties need their own scope and appropriately confirmed providers.

Can the office stay open during removal?

Potentially, depending on access and the approved scope. Identify occupied areas, preserve exit routes, and agree to a sequence that avoids moving furniture through active workstations without notice.

What should the final walkthrough prove?

It should show whether the approved removal list was completed and identify exceptions. Landlord sign-off, deposit decisions, and acceptance of lease obligations remain separate decisions made by the appropriate parties.
