Decide what the record must answer
Start with the operational question: was the agreed furniture removed from the specified rooms, and what remains? Use the approved inventory as the baseline. A note that says job complete offers little help if the scope involved several departments, multiple phases, or assets deliberately retained for another vendor.
For a planning example, an office handover record might list a cleared conference room, six retained chairs, and an inaccessible storage closet. That is more useful than a sweeping statement that the entire suite was cleared. Decide who will perform the walkthrough and which internal stakeholder needs the resulting information.
Capture factual quantities and exceptions
Record quantities where they can reasonably be checked and describe grouped material clearly when exact counts are impractical. Note added or removed items that changed the accepted scope and identify any remaining specialist material. Keep location references consistent with the original request so procurement and operations can reconcile the record without guessing.
If photographs are requested, confirm what can be provided and obtain appropriate permission for the spaces shown. Avoid capturing confidential papers, customer information, personal belongings, or security details unnecessarily. Images should document visible conditions; they cannot by themselves establish ownership authority, a downstream disposal destination, or acceptance of lease obligations by a landlord.
Separate hauling evidence from specialist claims
A completion note or invoice can describe ordinary removal work, but it does not automatically establish certified destruction, decontamination, donation, a verified recycling rate, or a complete chain of custody. If a specific outcome or document is essential, state it before booking and seek independent confirmation of the appropriate service and evidence.
Do not infer that material was donated because it appeared usable or that a cabinet was securely destroyed because it left the premises. Keep claims limited to what is actually known. The same principle applies to landlord acceptance and workplace readiness, which require decisions by the relevant property or operations representatives after hauling.
Connect completion to approval and billing
Record the relevant job reference, service address, approved scope, and purchasing reference where applicable. Pricing reflects volume, weight, labor, and access, with final onsite approval before loading; any accepted change should be understandable when the invoice arrives. Ask about correction procedures if a material description or reference is inaccurate.
PNWJunkRemoval, operated by Solely Junk LLC, currently reviews Portland–Vancouver requests through JunkPDX; Seattle and Boise are not open. Request documentation needs during address and scope review. Preserve your organization’s own asset approvals and specialist records separately so a basic hauling document is not expected to carry information it was never designed to verify.

COMMON QUESTIONS
Details worth settling early
Is a hauling invoice a disposal certificate?
Not automatically. An invoice generally records the commercial service and charges. Any specialized disposal or processing certificate requires a separately confirmed service and evidence appropriate to the material and purpose.
Should the record say the whole building is clear?
Only if that accurately reflects the agreed scope and verified result. Usually a room or area list with exclusions is more precise and avoids implying that unvisited or retained areas were completed.
What if the buyer needs photographs for approval?
State that requirement before confirmation and ask what can be provided. Identify the relevant areas, obtain permission, and ensure photographs can be taken without exposing confidential information or creating unsupported conclusions.
